HighLevel workflows and systems that behave the way you designed them
Automation problems are rarely one broken toggle. They are usually a design question: which trigger owns the action, where the data lives, and what happens on the edge cases. Nexus Hub is where you work that out with other builders.
What this usually looks like
- Workflows fire twice, fire late, or never fire at all
- Snapshot imports leave broken references you keep discovering later
- You cannot tell which trigger or filter belongs where
- Every client account has drifted into a slightly different build
Bring these to the community or a live call
Why does this workflow trigger twice, and how do I make it idempotent?
Double fires almost always mean two entry points match the same contact, or a re-entry setting allows the contact back in. Restrict re-entry, narrow the trigger filters so only one workflow owns the action, and use a tag or custom field as a guard so the action can only run once per contact.
What should live in the snapshot versus per-client configuration?
Structure belongs in the snapshot — pipelines, workflow logic, custom field definitions, templates. Anything unique to a client belongs in custom values that you set during onboarding: business name, booking links, sending addresses, phone numbers and offer details.
How do I structure custom fields and values so reporting still works?
Decide the field names once and reuse them everywhere. Use consistent naming, prefer picklists over free text for anything you will report on, and never repurpose an existing field for a new meaning — historical records keep the old value and quietly break your reports.
Where should I use a webhook or external tool instead of a workflow?
Move the work outside HighLevel when you need real branching logic, calls to third-party APIs, data transformation, retries, or a record of what happened. Keep it in a workflow when the action is a simple, native step on a contact or opportunity.

Platform changes that affect this
Turn Your Custom Fields Into Real Metrics in Sub-account dashboards and custom reports
You can now use numeric and monetary custom fields as live metrics across sub-account dashboards, custom reports, and metric modules. Custom data like property values, treatment costs, or unique deal sizes can be automatically aggregated using sum, minimum, maximum, or average functions. This eliminates the need to export data to spreadsheets for manual calculations, allowing you to build tailored reports directly inside the platform. Newly created custom fields appear as selectable metrics instantly without requiring extra setup.
Introducing New Templates
HighLevel has expanded its library with fresh pre-built assets across websites, funnels, emails, social media, ad campaigns, workflows, and snapshots. These additions target specific niches like automotive, health and wellness, finance, real estate, and creative services. Agency owners can use these customizable tools to quickly set up marketing assets and automations for clients, saving significant setup time.
Badge automation is now available in Workflows
Workflows now feature actions to automatically award badges to contacts and triggers to start sequences whenever a badge is issued. This allows agencies to seamlessly automate client recognition and immediately launch follow-up steps, such as sending congratulatory emails or updating contact records. Integrating badge rewards into automated journeys makes celebrating milestones easier and far more engaging for members or students.
Anthropic & Google models now available in AI agent action
You can now select Anthropic and Google AI models alongside OpenAI within the AI Agent workflow action. A redesigned interface lets you choose specific providers and customize the reasoning effort level for supported models. This allows you to match complex automation tasks with powerful, multi-step reasoning models while assigning simple tasks to faster, lighter options. These controls give you better management over response quality, execution speed, and token costs in your client workflows.
