  • Why does this workflow trigger twice, and how do I make it idempotent?

    Double fires almost always mean two entry points match the same contact, or a re-entry setting allows the contact back in. Restrict re-entry, narrow the trigger filters so only one workflow owns the action, and use a tag or custom field as a guard so the action can only run once per contact.

  • What should live in the snapshot versus per-client configuration?

    Structure belongs in the snapshot — pipelines, workflow logic, custom field definitions, templates. Anything unique to a client belongs in custom values that you set during onboarding: business name, booking links, sending addresses, phone numbers and offer details.

  • How do I structure custom fields and values so reporting still works?

    Decide the field names once and reuse them everywhere. Use consistent naming, prefer picklists over free text for anything you will report on, and never repurpose an existing field for a new meaning — historical records keep the old value and quietly break your reports.

  • Where should I use a webhook or external tool instead of a workflow?

    Move the work outside HighLevel when you need real branching logic, calls to third-party APIs, data transformation, retries, or a record of what happened. Keep it in a workflow when the action is a simple, native step on a contact or opportunity.

Workflow Publish & Validation Gate

Workflows now block publication if any configuration errors exist, preventing broken automations from accidentally going live. All system errors are now merged into a single sidebar that lets you jump directly to the issue or use AI to resolve it. You can also save your draft progress even when errors are present, allowing you to finish building later. This update ensures safer client automations and eliminates guesswork when troubleshooting setup issues.

Manually retry failed subscription payments

Platform users can now manually attempt payment recovery on unpaid subscriptions using NMI, Authorize.Net, Square, and Mercado Pago. When automatic payment retries fail, you can collect past-due balances directly from the subscription details page using an existing saved card or by entering a new payment method. Card retries are capped at three attempts before a 24-hour cooldown takes effect. This update gives businesses greater control over recovering lost revenue and reducing subscription churn directly inside the platform.

🎙️ Communities - Voice Notes in Posts and Comments

Community members can now record voice notes directly or upload audio files within community posts and comments. The update includes an inline audio player with adjustable playback speeds up to 2x and support for multiple attachments per post. This provides a faster, more personal way for users to engage, share updates, and give detailed feedback without having to type out lengthy responses.
