Fixing Failed SaaS Sub-Account Provisioning in HighLevel Setup

Learn how to resolve automated sub-account provisioning failures caused by Stripe API key mismatches and test mode settings in your checkout flow.

When a customer completes a checkout form for your SaaS offer, the system should instantly provision their sub-account, assign the appropriate snapshot, and trigger onboarding communications. When payments clear in Stripe but no sub-account is generated, the breakdown disrupts client trust before onboarding even begins.

In almost all cases, this provisioning failure stems from a structural misconfiguration between your agency account, your funnel sub-account, and your Stripe API connections. Addressing this issue requires aligning your payment integrations across organizational levels and switching off test mode settings.

Aligning Agency and Sub-Account Payment Gateways

SaaS Mode relies on continuous API communication between the agency dashboard, the payment processor, and the location hosting the sales funnel. If your sales funnel sub-account is connected to a different Stripe instance than your agency account, automated provisioning will fail.

To resolve gateway mismatches across your account hierarchy:

  • Access your main Agency Settings and navigate to the Stripe integration panel to confirm the connected account ID.
  • Open the specific sub-account where your SaaS landing page and order forms reside.

SaaS provisioning triggers are designed to execute upon verified live transactions. Operating your order form or agency payment setting in test mode prevents the system from generating sub-accounts, even if the form submission registers as successful.

Ensure your environment is configured for live processing:

  • Log into your Stripe dashboard and toggle off Test Mode to reveal your production Publishable Key and Secret Key.
  • Verify that the Agency-level Stripe integration is using active live keys rather than test environment credentials.
  • Check the integrations within your funnel sub-account to ensure live keys are saved and active.
  • Save changes at both levels to allow live webhooks to pass account creation payloads.

Operating in test mode during production leads to silent provisioning failures. Always verify that both agency and sub-account levels use live Stripe keys before launching live acquisition campaigns.

Validating End-to-End Account Provisioning

Sandbox testing with dummy card numbers does not reliably validate SaaS Mode provisioning once live keys are active. A true end-to-end test requires running a genuine transaction through your active order form.

Follow a structured verification process:

  1. Open your published sales page in a clean browser window or private browsing session.
  2. Complete the order form using a valid payment card and an unlinked email address.
  3. Confirm that the purchase completes and redirects to your designated thank-you page.
  4. Check your agency dashboard to confirm that the new sub-account was instantly created and assigned the proper snapshot.
  5. Log into your Stripe dashboard and issue a full refund for the test transaction.

Preventing Future Provisioning Disruptions

Maintaining reliable onboarding requires proactive management of your payment integrations. Any changes to Stripe account settings, API keys, or webhook endpoints can break account generation triggers without warning.

Establish routine checks when deploying new offers or updating account infrastructure:

  • Audit API connections quarterly to ensure credentials remain valid and authorized.
  • Monitor webhook logs in Stripe for failed event deliveries following platform updates.
  • Document account connection requirements for team members who manage funnel sub-accounts.
