Managing Pipeline Volume with the HighLevel Opportunities List View

Learn how to switch from Kanban cards to a customized list view in HighLevel to filter, sort, and manage opportunities across all pipelines efficiently.

Visual pipeline boards work well for low-volume sales processes, but they quickly become unmanageable when handling hundreds of active leads simultaneously. Horizontal scrolling across dozens of columns while opening individual cards to inspect custom field data creates unnecessary operational friction for sales reps.

To maintain speed and clear visibility at scale, HighLevel provides a dedicated List View inside the Opportunities module. This tabular interface converts traditional pipeline cards into a customizable spreadsheet format, allowing teams to filter, sort, and evaluate deal flow across single or aggregated workflows.

Switching to Tabular View

Transitioning from the standard visual card layout to the structured list interface requires only a quick toggle adjustment within the sub-account workspace.

  1. Navigate to the Opportunities section in your sub-account navigation menu.
  2. Locate the view toggle control located in the upper right corner of the main dashboard area.
  3. Select the List View icon to transform the display from vertical columns into structured table rows.

Once enabled, every active deal displays as a single line item. This layout drastically reduces visual noise and enables faster scanning of deal parameters across high-volume pipelines.

Customizing Columns and Filtering Data

Not every sales role requires the same data points. A sales representative might need to review deal values and immediate contact details, while an operations manager might prioritize custom form field submissions or contract dates.

The list view allows teams to construct tailored operational interfaces by adjusting visible attributes:

  • Column Selection: Choose standard fields such as Lead Name, Assignee, and Value alongside specific custom fields configured within your sub-account.
  • Layout Adjustments: Drag and reorder columns or modify widths so vital operational data remains immediately visible without requiring horizontal scrolling.
  • Advanced Filtering: Apply conditions based on pipeline stage, assigned team member, lead source, or tag to display precise sets of leads.
Note

Customizing displayed columns directly affects team review speed. Hiding unused default fields keeps team workflows focused on the data points required for conversion.

Sorting Opportunities by Custom Field Values

Standard visual boards often restrict sorting to stage progression or update timestamps. The list view expands sorting capabilities across various custom field types, enabling teams to prioritize records based on business-specific metrics.

To reorder pipeline opportunities dynamically:

  1. Click the Sort control positioned above the main workspace table.
  2. Select the primary field to dictate record sequence. Supported types include monetary values, text inputs, dropdown selections, radio choices, phone numbers, and custom dates.
  3. Choose ascending or descending order to bring priority opportunities to the top of the workspace.

Sorting by financial metrics or submission dates ensures that high-value opportunities receive immediate attention from account executive staff.

Aggregating Multiple Pipelines into a Unified View

Agencies operating separate pipelines for fulfillment, inbound acquisition, and client cross-selling often encounter fragmented reporting. Manually switching between distinct pipelines hinders broad oversight.

The list view addresses this fragmentation by enabling cross-pipeline aggregation across the sub-account:

  • Master Pipeline Selection: Open the pipeline drop-down menu in the upper-left workspace header and select the All Pipelines option.
  • Unified Data Column: A dedicated Pipeline column appears automatically, identifying the origin workflow for every displayed record.
  • Smartlist Preservation: Save configured cross-pipeline parameters as a Smartlist for instant access during management reviews or team standups.

When viewing all pipelines simultaneously, stage-specific sorting automatically defers to creation date ordering to maintain coherent data alignment across different workflow structures.
