Managing HighLevel AI Knowledge Bases for Reliable Conversational Agents

Organizing data sources inside the updated HighLevel Knowledge Base UI prevents AI hallucinations and simplifies training across sub-accounts.

Nexus Hub editorial · 5 min read

When an AI agent provides incorrect pricing or references deleted promotional material, the root cause is almost always fragmented source data. AI models do not invent bad information out of thin air; they pull from whatever outdated files, uncrawled web pages, or conflicting document uploads remain active inside their training repository.

Maintaining accurate automated responses requires strict data hygiene. HighLevel's updated Knowledge Base structure addresses this by consolidation: replacing scattered configuration pages with a single management dashboard. Understanding how to navigate and maintain this centralized interface ensures your bots remain accurate and operational.

Accessing the Unified Dashboard

To review or modify the data feeding your conversational bots, access the main platform navigation and select AI Agents, followed by Knowledge Base. This central hub displays every active repository within the sub-account.

From this main view, operators can audit existing training libraries, build new repositories from scratch, or open a specific base to modify its ingested materials. Having every data set visible from a single entry point reduces the risk of orphan documents silently corrupting bot responses.

Auditing Repositories via the Summary View

Opening an individual Knowledge Base immediately opens the Summary tab. This screen acts as a diagnostic dashboard for the selected dataset, offering a bird's-eye view of all connected inputs and overall system health.

Before adding new documents or retraining a model, check this overview to verify which channels are actively feeding the system. If an agent is citing outdated terms, the Summary view helps identify whether the error stems from a crawled URL, an uploaded file, or an unedited FAQ block.

Structuring Content Across Dedicated Input Tabs

Rather than mixing text files, scraped URLs, and structured data into a single unorganized list, the updated interface separates inputs into dedicated, tabbed categories. Each tab displays an exact count of active entries and allows inline management without page reloads.

  • Web Crawler: Manages specific domain paths and site scrapes, allowing targeted refreshes when client websites update.
  • FAQ: Stores structured question-and-answer pairs for direct key-phrase matching.
  • Web Search: Controls real-time web querying capabilities for broader context retrieval.
  • Tables: Houses structured tabular data such as pricing tiers, inventory lists, or schedule metrics.
  • Rich Text: Provides a simple editor for custom rules, brand voice directives, or operational guidelines.
  • File Upload: Stores static documents, including PDFs, onboarding guides, and policy manual uploads.

Managing sources directly within these categorized tabs ensures that deprecated files are removed immediately and replacement data is correctly indexed.

Standardizing Interface Consistency and Permissions

HighLevel utilizes a standardized UI component for the Knowledge Base across different system modules. Whether building an automated conversational workflow or tweaking bot settings within a sub-account, the management controls remain uniform.

Role-based access controls dictate how users interact with this interface. Administrators and editors retain full rights to append, modify, or delete sources, whereas users with viewer-only permissions can inspect active training data without risking accidental deletions or unauthorized edits.

Note

Establish a monthly audit protocol to review every tab in active Knowledge Bases. Removing legacy files and refreshing scraped URLs is the most effective way to prevent bot hallucinations.
