How to Safely Update Legacy Flow-Based AI Agents in HighLevel Accounts

Learn how to edit, test, and deploy updates to legacy flow-based AI agents in HighLevel without risking downtime or breaking live client conversations.

Managing conversational AI bots across multiple client sub-accounts requires careful maintenance. When a client updates their offer structure, modifies pricing, or changes qualifying criteria, their active AI agent must be updated to reflect those operational changes immediately.

Editing an active agent directly in a live production environment carries significant operational risk. Accidentally removing a node connection or altering variable outputs while prospects are actively chatting can freeze conversations or produce hallucinated responses. HighLevel provides a staging workflow within Agent Studio that allows agency operators to modify, test, and publish changes to flow-based agents without disrupting live traffic.

Locating Flow-Based Agents in Agent Studio

While newer conversational builds often utilize modern agent architectures, legacy setups relying on visual canvases remain active across many agency accounts. Accessing these visual flows for ongoing maintenance requires navigating through the primary platform controls.

To open your existing visual agent canvas, follow these steps:

  • Select AI Agents from the main dashboard navigation menu.
  • Click into Agent Studio to open the builder interface.
  • Switch to the Flow Agents tab to view your active canvas-based bots.
  • Click the name of the specific flow agent you need to update.

Adjusting Logic Nodes and Runtime Variables

Once inside the visual canvas, you can update prompt structures, integrate new tools, or re-route execution paths. Because the visual builder separates workspace drafts from the active production build, any modifications you make on the canvas remain confined to staging until explicitly published.

Key updates you can make to your flow logic include:

  • LLM Nodes: Update system instructions, adjust response formatting, or alter conversation goals.
  • Knowledge Base Nodes: Connect updated document repositories or revise source materials referenced by the model.
  • API Nodes: Configure third-party webhooks to push captured variables to external databases or CRM endpoints.
  • Web Search Nodes: Enable real-time search capabilities for queries requiring live external data.

When adding or altering nodes, verify that input and runtime variables match across connected endpoints. Mismatched variable names between nodes can interrupt the flow of data, causing downstream conditional logic to fail during execution.

Testing Changes in Staging Mode

Testing updates directly on live customer channels leads to degraded prospect experiences when unexpected bugs occur. HighLevel provides a built-in sandbox simulator within the canvas to verify conversational logic prior to launch.

To validate your updated logic safely:

  1. Open the Test tab situated within the Agent Studio builder canvas.
  2. Initiate a simulated conversation to trigger updated conditional paths and prompt responses.
  3. Inspect runtime variable outputs in the debug panel to ensure data passes correctly between nodes.
  4. Simulate edge cases, such as abrupt topic changes or invalid lead inputs, to confirm fallback behavior.

While you conduct tests in the staging environment, your active production agent continues serving live incoming conversations using the previously published version without interruption.

Publishing Updated Agents to Production

Once you verify that the modified agent handles all conversation paths correctly, you can push the staged version to your live environment.

To push changes live:

  • Click Save and Publish inside the builder to lock your staged changes into a deployment state.
  • Click Deploy Agent to push the validated staging build into active production.

The transition between versions happens instantly. Incoming messages automatically route to the updated logic flow without requiring you to pause active campaigns, clear cache, or reconnect webhook triggers in your broader sub-account workflows.
