How to Resolve Endless Phone Call Forwarding Loops in HighLevel

Learn how to identify and resolve infinite call routing loops in HighLevel before they block incoming sales leads and drain your team's bandwidth.

Automated phone routing is critical for agency operations, but misconfigured forwarding rules can create recursive loops. When two numbers route to each other, an inbound call triggers an infinite chain of automated dials, flooding the subaccount dashboard with false notifications and locking up phone capacity.

Identifying and resolving these redirect loops quickly is essential for maintaining line availability. By checking three key configuration locations within the platform settings, you can isolate the circular routing rule and restore normal call traffic.

Detecting the Signs of a Routing Loop

Routing loops manifest differently than standard dropped calls or missing audio issues. Recognizing the technical symptoms helps confirm that the issue stems from circular forwarding rather than a carrier outage or microphone permission error.

The primary indicator of an active loop is rapid call record creation or log duplication in the system dashboard.

  • Continuous incoming call logs appearing in the Conversations tab within seconds of a single call attempt.
  • Audio recordings that replay greeting prompts repeatedly or capture the system dialing itself.
  • Simultaneous busy signals reported by external callers attempting to reach your business line.
  • High-volume usage spikes on specific virtual phone numbers over a very short timeframe.

Auditing User Profile Numbers

The most frequent cause of a forwarding loop occurs when a team member's personal device number is identical to their assigned virtual phone number inside the subaccount.

When a call comes in, the system attempts to dial the user's assigned secondary device. If that device number is configured as the exact same virtual number, the platform routes the call back into itself, starting an endless chain.

  1. Open the relevant subaccount dashboard and navigate to Settings.
  2. Select My Staff and click Edit on the team member experiencing the routing issue.
  3. Review the Phone field under User Info and compare it to their assigned virtual number.
  4. Update the field with a distinct external mobile or landline number, then save the profile.

Verifying Phone Number Forwarding Rules

Dedicated phone numbers managed inside the platform allow direct global forwarding rules. If a primary inbound line points to a forwarding destination that ultimately routes back to the original pool, calls will bounce indefinitely.

Reviewing line-level forwarding fields ensures every virtual number directs traffic to a unique destination device or external call flow.

  1. Navigate to Settings and select Phone Numbers from the menu.
  2. Locate the primary number receiving inbound traffic and review the Forwarding Number field.
  3. Ensure the target number is an external endpoint, such as an off-platform mobile phone or answering service, rather than another managed virtual line.
  4. Save changes and perform a test call from an external phone to verify direct connectivity.

Checking Fallback and Business Profile Numbers

The platform relies on default numbers listed in the Business Profile as fail-safes when primary routes are unavailable or busy. If this default number routes back into the workspace through external carrier rules, a loop forms during high-volume periods or missed calls.

Verifying the fallback chain prevents secondary loops from opening when team members are unavailable to answer primary calls.

  1. Go to Settings and open the Business Profile menu.
  2. Inspect the Business Phone field to confirm what number is assigned as the default fallback.
  3. Dial the listed business phone manually from an independent phone to verify its true destination.
  4. Confirm that the carrier associated with the fallback number does not have conditional call forwarding turned on that points back to your virtual line.

Always maintain a separate, un-forwarded physical landline or mobile line designated specifically for emergency fallback testing.
