To begin tracking a new prospect or client engagement, access the core pipeline management workspace inside your targeted sub-account interface.

  • Open your designated HighLevel sub-account dashboard.

  • Assign a descriptive Opportunity Name, such as combining the client company name with the target service retainer package.
  • Select the appropriate sales pipeline that represents the buyer journey for this service.
  • Place the opportunity into the exact Stage that reflects its current status, such as Discovery Completed, Audit Delivered, or Proposal Sent.
  • Keep the initial Status set to Open for active deals, or select Won, Lost, or Abandoned if the outcome is already determined.
  • Enter the estimated total contract or retainer value in the Opportunity Value field to populate your platform revenue forecasts.

Assigning Rep Ownership and Tracking Additional Data

Sales momentum slows down when account ownership is vague or unassigned. Explicitly designating team roles and filling out contextual custom fields enforces accountability across your sales team.

Select a primary user to serve as the Owner responsible for moving the prospect through the sales cycle. If other team members need monitoring capabilities or regular updates, add them as Followers to the record. Finally, fill in operational custom fields, such as lead source, fulfillment type, or contract length, ensuring reps have full context before conducting follow-up conversations.

Verifying Pipeline Placement and Record Integrity

Once all necessary fields are completed, lock in the details to place the deal card onto your interactive kanban board.

  1. Review all entered financial and contact details for precision in the setup pane.
  2. Save the record to finalize the creation of the opportunity.
  3. Locate the new card on your graphical pipeline view under its designated stage column.
  4. Confirm that assigned user permissions and projected deal values reflect accurately in your platform dashboard reporting.
