Configuring Event-Based Triggers for Flow AI Agents in HighLevel

Learn how to configure real-time event triggers inside HighLevel Agent Studio to deploy conversational AI agents the moment a prospect submits a form or sends a message.

Speed to lead remains one of the primary drivers of digital sales performance. When a prospective client submits an inquiry or sends an inbound chat message, the delay between their initial action and your system's response directly impacts conversion rates. Modern conversational AI allows agencies to handle these interactions automatically, provided the agent is triggered the exact moment the event occurs.

In HighLevel, connecting conversational AI models to real-time prospect actions is managed inside Agent Studio using Flow Agent Triggers. By establishing native start triggers directly within your visual flow canvas, you remove manual intervention and ensure your automated agents initiate context-aware conversations instantly.

Accessing the Visual Flow Builder

To set up event-based initiation for an existing conversation flow, you must navigate to your flow canvas inside the sub-account's operational dashboard. Custom conversational logic relies on visual node architectures to route payloads correctly.

  1. Open the main sub-account dashboard and select AI Agents from the left navigation menu.
  2. Click the Agent Studio tab located along the top header toolbar.
  3. Select Flow Agents to access your custom visual conversation bots.
  4. Click on the specific agent name to launch the canvas editor.

Adding the Start Trigger Node

Every visual conversation flow requires an explicit entry point to define what payload data is expected and when execution should commence. Placing a Start Trigger node establishes this boundary on your canvas.

Within the canvas workspace, locate the starting region of your logic map. Click the option to add a new node, navigate to the Flow Control category, and select Start trigger. This drops a dedicated event listener onto your canvas that continuously monitors specified account events.

Defining Supported Entry Events

Once the trigger node is positioned on your canvas, you must select the specific system event that activates the agent. Different entry events provide distinct payload parameters that your AI agent can reference during conversation execution.

  • Form Submitted: Executes immediately after a prospect completes a form. You can scope this event to fire for all forms across the account or select specific landing page forms from the dropdown configuration.
  • Lead Tag: Triggers when a contact record's tag status changes. You can set this to execute when a designated tag is either added to or removed from a record, making it ideal for workflow-driven segmentation.
  • Chat Message: Activates the flow automatically upon receipt of an inbound customer communication across connected chat channels without needing manual parameter mapping.
  • Workflows: Allows upstream workflow automations to hand off execution directly to the AI agent, enabling complex multi-step sequences to initiate targeted conversational flows.

Validation, Testing, and Production Deployment

Deploying untested conversational logic into a production environment risks delivering unformatted responses or misinterpreting contact payloads. HighLevel provides a structured environment to validate triggers prior to live deployment.

Before publishing your trigger live, utilize the internal test function inside the canvas editor. This simulation runs a safe check of the incoming payload, allowing you to trace variable pass-throughs, verify that the agent initializes correctly, and confirm that downstream nodes receive proper metadata without altering live CRM contact records.

Once execution paths pass validation, save your workspace state to create an updated Staging build. Reviewing your changes in Staging ensures active contact sessions are not interrupted mid-conversation. Clicking Publish pushes the trigger to Production, enabling real-time events across the account to instantly launch your Flow Agent.

Note

Always maintain clean staging and production separation when updating agent triggers on sub-accounts with high lead volume. Running simulated payload tests prevents broken logic from executing against live inbound inquiries.
